ACE uses an online contracting system. You can make the request below or by emailing robiny@tbrins.com. Your request to get contracted will trigger an email with a link. Simply click on the link to begin the contracting process.
 
After ACE approves your contracting request, you will receive a Welcome Email. This initial email will provide you with your Agent Number and the states you are appointed in. This welcome email will come from: noreply@contracting-online.com. Subject: ACE Med Supp online contracting Invite.

Within the next 24 hours, you will receive a second email with a link to the ACE Agent Portal and your Registration Code (which is NOT your agent number).  This second email will allow you to set up your Agent Portal in which you will have access to product information, forms/e-app, new business status and commission reporting.
 
These two emails will come from Welcome_ACEMedSuppStore@imprivia.com.

If you are contracting an agency that you own:
  • You will receive two agent numbers, one for your agency and one for yourself as a writing agent.
  • You will need to register both accounts on the ACE Agent Portal.
  • Use your individual writing agent number on client applications.
  • Likewise, use your agent portal when you want to take a client e-app.

Transfer/Release Policy
To transfer your ACE appointment to new hierarchy, we will need a Letter of Intent to transfer to The Brokerage Resource, and a release if applicable. A release is required if the agent has written business in the past 6 months OR has been contracted for less than 6 months.
 
The Letter of Intent is a statement in the body of your email which you send to robiny@tbrins.com.  State your name, NPN, your request to transfer to The Brokerage Resource, indicate where commissions are to be paid (self or your corporation), indicate if you have a downline, indicate if you would like an advance (6 or 9 months), and list the states you are contracting in.

​For example:
Hello my name is John Smith, NPN 123123. Please process my hierarchy change to The Brokerage Resource. I would like my commissions to be paid to my corporation XXXX Insurance. I do not have any agents in my current downline. I would like to advance my commissions to 9 months. Please contact me in the states that I am licensed in, CA OR, WA, and TX. Thank you,
Demographic Changes
Email robiny@tbrins.com and indicate what the changes are. Include your name, NPN and indicate the change is for ACE.
Add Non Resident State
Email robiny@tbrins.com and indicate what states you want to be added to your contract. Include your name, NPN and indicate the change is for ACE.
 
ACE will pay for all state appointment fees.

Aetna uses an online contracting system. You can make the request below or by emailing robiny@tbrins.com. Your request to get contracted will trigger an email with a link. Simply click on the link to begin the process.

You will be asked if you already have access to the Aetna Producer World portal. If you do not, you will need to register. After you are registered, click back on the contracting link and log in using your Username and Password.
Aetna Contract Request
​Aetna will then ask if you are contracting as an agency. Select 'Yes' only if you are the principal of an agency that you own. Select 'No' if you are not the principal of an agency.

​​Review and sign your W-9.  Complete the required fields and select the blue 'Click to Sign' button. ​Click to Continue and then select the 'Open case assigned to me' invitation.
​Fill in all the mandatory fields as requested, being sure to review each tab.   A tab will show “incomplete” if information is missing. Note the final 'Transfer' tab – this is where you can upload your Aetna transfer form if you are moving from a different upline agency.  This is NOT required if you are contracting with Aetna for the first time.
 
After all tabs have been completed, submit the contract for processing. You will receive a confirmation that the request has been submitted. You can immediately begin Aetna’s product certifications.
 
IMPORTANT – Your contract will NOT be finalized until certification is complete.

​Upon completion of your contract and yearly certification, you will be appointed by Aetna for Individual Medicare products in the pre-appointing states where you hold an active license. Just-in-time appointing states will be ordered after a policy is written.
Transfer/Release Policy
If you are already contracted you will need to complete the Aetna Transfer Release form. If your current upline signs the form, you will transfer immediately. Simply email the form to robiny@tbrins.com for processing.
 
If you have written business under a different hierarchy in the past six months, and the form is not signed by that current upline, email the form to robiny@tbrins.com with just your signature and you will be transferred after a 90-day waiting period.
 
Transfers are not permitted or processed from October 1 – December 31. The last day to submit a notice of intent for the current year’s AEP is June 30th.
 
If you are currently contracted, have been with your current upline for at least three months AND have no production in the last three months you may submit a new contract. Simply email robiny@tbrins.com to start a new contracting request.
 
If you are contracted less than three months or have had production in the last three months, you will need to complete a new contract and upload the Aetna Transfer Release form. Please follow the instructions above for new contracting.
Demographic Changes
Log into Producer World and navigate to Manage your personal information > Personal/Firm profile > Firm Access Info/privileges > Personal Profile

EFT Changes
Log into Producer World and navigate to Compensation.  Click “Get compensation statement” and then select the applicable direct deposit link (individual or firm). Submit the updated form online.

Add Non-Resident State
To add a state appointment, email brokersupport@aetna.com.  Include your name, NPN #, non-resident license, and indicate that you would like to be appointed in that state.
 
All states appointments, except for AL, KY, LA, MT, OH, OK, PA, UT, VT, WA and WI are processed Just-In-Time (when you take a client application).  These exception states must be confirmed effective prior to dating a client application.
Ready to Sell
Remember to check your RTS status before selling in each state where you conduct business.  You can monitor your active RTS status on the new map tool on Producer World.  The map will allow an agent to determine their own RTS status by product and by state, specific to the selling season.

Aetna Senior Solutions: Med Supp, Ancillary & Final Expense

We use SureLC for contracting with Aetna for Med Supp, Ancillary and Final Expense products. You can make that request below. You can review our Instructions for getting set up in the portal and making the request. Processing will take approximately 7-10 business days. An email will be sent to you from Aetna with your new Aetna Senior Supplement agent number when the approval process is complete.  
 
If you are contracting your agency, you will get two agent numbers, one for the agency and one for yourself personally as a writing agent.  Be sure to use your personal writing number when taking a client application.

Transfer/Release Policy
A letter of release is needed if you have written business within the past 6 months or have been contracted with your current upline for less than 6 months. To transfer immediately, a letter of release is needed from your current upline.  Be sure to send that release to robiny@tbrins.com for processing.
 
If you are unable to obtain a release, you may begin a delayed 6-month release. Simply email robiny@tbrins.com. Let her know you would like to change hierarchies.  She will notify Aetna of your intent and you will be able to switch hierarchies 6 months after making this request and you can continue to write business during this waiting period.  When the 6-month waiting period is over, you and Robiny will need to submit a new contract with the requested new upline hierarchy.
EFT Changes
Log into Aetna Senior Products agent portal.  Go to My Tools > Agent Maintenance.  Request type is Agent Maintenance, Select Agent Number, upload EFT form, and submit.
Add Non-Resident State
Log into Aetna Senior Products agent portal.  ​

Go to My Business > My profile.  Select the Agent Number you are requesting a state appointment for. Click on the company code to request the appointment in that state.
 
Once request is submitted, it will be highlighted in “Yellow”.  Allow 48 hours to process these requests.  If a valid license is available and appointment is submitted, then the state/product will be updated to purple.  If no valid license is available, then appointment is not submitted. State/product will be updated to grey.
